The University is committed to full compliance with all WSU State standards for the protection of information assets and information technology resources that support all WSU educational operations. WSU may collect information of its students during the registration process to Moodle or its recruitment system. The information may include, but not limited to, the following: name, age, date of birth, identity number or social security number, ethic group, address, email, phone number, employment data, user ID, user password, credit card information, IP address, course information.
WSU uses personal information to provide the highest quality academics, services and/or employment opportunities. The information is also used for reports for federal and state accreditation and regulatory agencies, as required by law. WSU also uses the information to contact people who have been identified by the student to provide documents or responses to candidates/ students/ employees. Personal data will only be processed in a manner compatible with these purposes.
WSU will not use personal information for commercial purposes. WSU will also limit the number of staff who have access to sensitive information and data such as identification or social security number, personal financial data, health information, etc.
Paper personal information will be housed in locked fire-proof file cabinet. Electronic personal information will be housed on the WSU drive with defined access protections. Information will not be stored longer than the required retention period as specified in the Record Management Policy.
A student has the right to review only his/her own personal file and data.
Each WSU faculty and staff member is responsible for the protection and security of administration of networks, email servers and systems. WSU respects to the privacy of electronic communications. The university does not examine or disclose electronic communications records without expressed permission/consent of the parties involved unless WSU is under a legal requirement to disclose such information.

The institution requires all users to exercise a duty of care in relation to the operation and use of its information systems. Students and Faculty will be issued a unique user identity. Any password associated with a user identity must not be disclosed to any other person.
The Internet provides a number of benefits for common use, However, when someone clearly identifies their association with WSU they are expected to behave appropriately when on the Internet, and in ways that are consistent with the code of conduct. Access to the internet changes the way that faculty and students engage, and the same principles and guidelines that apply to interactions between faculty and students in general, applies to activities digitally.
Students are not permitted to record classroom lectures unless permission is obtained from the instructor and there are no objections from any of the students present in the class.
If recording is permitted students are not allowed to share the recording outside of personal use. Any sharing of recording including posting digitally is deemed a violation of the Student Code of Conduct and may be subject to disciplinary action.
WSU recommends that the student should first attempt to resolve the matter directly and informally with the faculty/staff member involved. Many issues, problems and concerns can be addressed and possibly resolved by an initial conversation and discussion with the faculty/staff member involved.
However, WSU also understands that due to the specific nature of the student matter that this approach may not always be possible, appropriate, or acceptable to the student. We fully understand that not all situations can be resolved with this initial conversation between the student and faculty/staff member involved.
If the student chooses not to try to resolve the matter in this initial conversation or if the initial conversation does not result in a satisfactory resolution of the matter, the student can pursue a formal process of resolution by filing a complaint or grievance.
A complaint or grievance should be initiated as soon as possible after the issue/concern/problem has occurred but in no cases more than five (5) working days from the date of the occurrence of the incident and send it to – grievance@wsu.university.

Western State University (WSU) awards academic credits based on generally accepted practices in degree-granting institutions of higher education consistent with commonly accepted practices and federal regulations.
In accordance with this policy, credit hours will be assigned for all WSU courses and programs.
According to California’s Title V code, section 55002, WSU applies the Carnegie credit units. It means that a semester credit unit equals to a minimum of three hours of work per week for a semester (16 weeks).
In certain circumstances, it is possible to have more hours but not less. Three hours of student work including 1-hour lecture plus 2 hours of homework or 3 hours of labs for 16 weeks.
A lecture at WSU is a digital lecture, tutorial, student research, individual or group exercise, and forum. Lecture classes are classes with a professor or teaching assistant, while homework hours are defined as hours spent by the student working independently.
Western State University (WSU)’s student refund policy is designed to explain and facilitate the payment of student refunds of tuition and fees.
Any student has the right, without explanation, to cancel his/her enrollment agreement and obtain a full refund of charges paid through attendance at the first class session, or the seventh day after enrollment, whichever is later. The cancellation must be in writing. Any student may withdraw from the school at any time, after classes start, and receive a pro rata refund of 60 percent (60%) or less, calculated based on the remaining scheduled days in the current payment period in the program, and based on the last day of attendance.
The refund granted will have a further deduction for a registration or administration fee. The final refund amount will be paid or credited to the student within 45 days of withdrawal. For the purpose of determining the final amount of the refund, the date of the student’s withdrawal shall be deemed the last date of recorded attendance. The amount for refund equals the daily charge for the program calculated as follows: total institutional charge, minus non-refundable fees, divided by the number of days in the program, multiplied by the remaining number of days scheduled to attend prior to withdrawal. Scheduled days are based on a five-day week, which does not include Saturday or Sunday, or any recognized holiday as stated in the WSU catalog.
For programs beyond the current “payment period,” if the student obtains a loan to pay for an educational program, the student will have the responsibility to repay the full amount of the loan plus interest, less the amount of any refund. The refund shall be sent to the lender, third party or, if appropriate, to the state or federal agency that guaranteed or reinsured the loan. If the student has received federal student financial aid funds, the student is entitled to a refund of monies not paid from the federal student financial aid program funds.
WSU shall pay or credit refunds within 45 days of a student’s cancellation or withdrawal.

In the case of students being late by more than one month in paying their tuition fees, WSU holds the right to apply late fees penalty and/or unenroll/withdraw the student from the semester, module or year. If the student is over 3 months late in payment, the university holds the right to expel the student totally from the program.

This policy applies to all employees (full-time, part-time, faculty, adjuncts, administrators and staff) of Western State University (WSU).
Employees are expected to observe certain standards of job performance and good conduct. When performance does not meet WSU standards, the University will endeavor, when it deems appropriate, to provide the employee a reasonable opportunity to correct the deficiency (“corrective action”). If an employee fails to make the correction, he/she will be subject to discipline, up to and including termination.
The rules set forth below are intended to provide employees with fair notice of what is expected of them. Necessarily, however, such rules cannot identify every type of unacceptable conduct and performance. Therefore, employees should be aware that conduct not specifically listed below but which adversely affects or is otherwise detrimental to the interests of WSU, other employees, or students, may also result in corrective action or discipline.
Nothing in this policy is intended to alter the at-will status of employment with the Western State University. WSU reserves the right to terminate any employment relationship or contract, to demote, or to otherwise discipline an employee without resort to these correct action procedures.
WSU depends not only on the skills, abilities, and commitments of all employees and faculty but also on their integrity and collective commitment to the University. The four key relationships in which they participate are students, fellow employees, vendors, and the physical and virtual communities in which WSU operates.

Discretion in style of dress and behavior is essential to the image and the safe and efficient operation of the WSU. Employees are expected to dress in a manner appropriate to the type of work performed. It is important that all WSU employees project a professional image anytime they interact internally and externally, whether in-person or digitally. Managers, in consultation with the appropriate senior administrator, may enhance dress code requirements.
Specific work days or work occasions may be deemed appropriate for “business casual” attire. The following are guidelines to “business casual” attire:
Business casual attire is considered the minimum level of appropriate professional dress.
Employees must abide by the safety policies and procedures of their department and wear protective clothing or safety equipment when required. Unique scheduled work activities may necessitate an exception to the Dress Code which will require the approval of the supervisor and/or appropriate senior administrator.
Employees failing to comply with WSU’s standards for dress are subject to corrective action or discipline and may be asked to go home to change, without pay, when standards of dress are not followed. Accommodations for religious dress may be considered.
Dismissal or demotion for poor performance ordinarily will be preceded by an oral warning and a written warning, except WSU reserves the right to proceed directly to a written warning, demotion, or termination for misconduct or performance deficiency, without resorting to prior disciplinary steps, when the WSU deems such action appropriate.

A written memo of an oral warning should include the date, name of the employee, the subject discussed, and a summary of the discussion is required. Documentation for a first warning should be kept by the supervisor. Documentation for a subsequent warning must be forwarded to Human Resources, along with documentation for the first warning to be kept in the employee’s personnel file.
All written warnings must be approved by Human Resources and should detail the issue(s), refer to previous oral warnings and include expectations and deadlines for achieving acceptable performance. Written warnings will clearly state that failure to achieve the expectations and deadline will result in further action up to and including termination. Both the employee and the supervisor should sign written warnings. If the employee refuses to sign the warning, the supervisor shall request another supervisor or a representative from Human Resources to sign the document, in the presence of the employee, as a witness that the warning was received by the employee. The employee may submit a written response to the written warning for his/her personnel file.
If, subsequent to receiving a first warning, an employee works 18 months without receiving another warning, the first warning shall not be counted against the employee as a first offense.
The Human Resources Manager is principally responsible for the implementation of this policy. Any WSU employee, however, is responsible for the implementation of and compliance with this policy for employees under his/her supervision.
